This policy explains how Hujjat-Ul-Islam, registered charity 290479, operating as Hitchin Mosque (The Hitchin Jaami’ Masjid), 28 Florence Street, Hitchin, SG5 1QZ (“we”, “us”) uses personal data collected through hitchinmosque.org.

What data we collect

• Contact form: your name, email address, enquiry subject and message, including any other information you choose to put in your message.
• Donations: name (if provided), email address, donation amount, frequency, purpose, transaction identifiers, payment status, and (if you opt in) Gift Aid details including your name and home address for HMRC records. Card details are entered directly into Stripe's checkout and are not made available to or stored by us.
• Analytics (optional): if you accept analytics cookies, Google Analytics collects usage and device information such as online identifiers, pages visited, device type and approximate location.
• Technical data: our hosting and content providers may receive information such as your IP address, browser type, requested page, date and time.

Why we use your data

• To respond to enquiries and provide mosque services.
• To process donations and, where applicable, Gift Aid declarations.
• To improve our website when you consent to analytics cookies.
• To keep our website secure and prevent abuse.

Legal basis

• Enquiries: our legitimate interests in responding to enquiries, providing mosque services and keeping appropriate correspondence records.
• Donations: taking steps at your request and performing the donation arrangement, together with our legitimate interests in administering and accounting for donations.
• Gift Aid and financial records: compliance with our legal obligations to HMRC and under applicable accounting law.
• Security and technical logs: our legitimate interests in protecting, maintaining and troubleshooting the website.
• Analytics: your consent. You may change this choice using the "Cookie settings" link in the footer.

Third-party services

• Stripe — secure payment processing for online donations.
• Web3Forms — delivers contact form messages to our email inbox.
• Supabase — securely stores donation and Gift Aid records for mosque administration.
• Google Analytics — optional website usage statistics (only if you accept cookies).
• Netlify — website hosting and serverless functions.
• Google Maps — an optional map on our contact page, loaded only when you choose to load it.
• Content delivery providers — Google Fonts and Cloudflare deliver fonts and icons used by the website.

International transfers

Some providers may process data outside the UK. Where required, transfers are protected by UK adequacy regulations or approved contractual safeguards. Contact us for more information about the safeguards relevant to your data.

Cookies

We only load Google Analytics after you click “Accept” on our cookie banner. You can reject analytics and still use the website. Your choice is stored in your browser’s local storage so that we remember it; this storage is necessary to respect your choice. Use the “Cookie settings” link in the footer to change it. Stripe may use cookies or similar technologies when you visit the donation page and use its secure checkout. Google Maps is not loaded until you select “Load Google Maps” on the contact page.

How long we keep data

Contact enquiries are kept while we respond and for as long as reasonably needed for follow-up or record-keeping. Donation and accounting records are normally kept for six years after the relevant accounting period. Continuing Gift Aid declarations are kept while active and normally for six years after the accounting period containing the final donation. We may keep records longer where required by HMRC, another legal obligation or a legal claim. Analytics information is retained according to our Google Analytics settings.

What you need to provide

Your name, email address, subject and message are required to use the contact form. A donation amount and payment information are required to donate online. A donor name and receipt email are otherwise optional. Gift Aid requires a valid declaration containing your full name and home address.

Your rights

Depending on the circumstances, you may have the right to access, correct or erase your personal data; restrict or object to its use; and receive certain data in a portable format. Where processing relies on consent, you may withdraw that consent at any time without affecting earlier processing. You may cancel a Gift Aid declaration by contacting us and change analytics consent using “Cookie settings” in the footer. Some rights are limited where we must retain records by law.
